Reserve with Virtual EMS
Updates to Event Services Process
EMS, the space reservation system used by Event Services, is under the ownership of the Office of Information Technology.
All OHIO employees without current access to reserve Event Services spaces will need to register to gain access to reserve event spaces on campus. This is to ensure appropriate access to event space reservations, including reservations in Baker University Center, Walter Rotunda, Galbreath Chapel or outdoor event spaces.
To complete the registration process, and include the University Department, Oracle Account Number, and a list of no more than TEN individuals from the unit with permission to reserve event spaces. The request should be completed by a budget authority. Please be aware that only faculty and full-time staff will be granted access to reserve spaces.
Students are no longer able to reserve spaces on behalf of University Departments. (Student Organization leadership will be contacted by the Center for Student Engagement and Leadership in a separate communication regarding EMS access. Student Organizations will NOT need to register at this link.)
Please note: all major event spaces and outdoor spaces must be reserved at least 30 business days in advance.
Please note the following dates:
Wednesday, March 19, 2025 - Opening Day for Fall Semester 2025 Event Services spaces (Fall Semester 2025 dates include August 12, 2025 - December 23, 2025)
Wednesday, September 18, 2024 - Opening Day for Spring Semester 2025 Event Services spaces (Spring Semester 2025 dates include January 2, 2025 - August 10, 2025)

Opening Day Dates for Fall Semester and Spring Semester Reservations
- Opening Day for Spring Semester 2025 is Wednesday, September 18, 2024 at 9am.
- This will allow OHIO student organizations and departments as well as external customers to make reservations for January 2, 2025 through August 10, 2025 at the following venues on the Athens Campus:
- Baker University Center
- Walter Rotunda
- Galbreath Chapel
- The Front Room
- Outdoor Spaces
- The following spaces will be unavailable to reserve in EMS:
- Memorial Auditorium
- Nelson Commons
- Opening day for Fall Semester 2024 is Wednesday, March 20, 2024 at 9am.
- Same venues as above
- This will allow OHIO student organizations and departments as well as external customers to make reservations for January 2, 2025 through August 10, 2025 at the following venues on the Athens Campus:
